Project Assign from PO

Resource Assigners with Purchase Order Viewer role, Administrators, and P&R Administrators can use this bulk process to create project and task assignments for subcontractors from existing PO assignments. They can search for possible matching project and task assignments for the listed PO assignments. If they do not find the assignments they need, then they can add new assignments or edit the existing assignments. They can also delete project and task assignments.

The Assign from PO menu option is accessible from the Contracts >> Project >> Assign from PO menu at the top of the screen.

 
Roles

This screen is available to users having the Administrator, P&R Administrator, or Resource Assigner role who also have the Purchase Order Viewer role.

This screen is available with the Project Financials family of Unanet licenses.

Search

The Search dialogue box pops up when you first navigate to the Project Assignments from PO page. You can always click on the Search icon - - to filter the list of PO Assignments. This search will return all PO Labor Assignments on Purchase Orders that match the search criteria. Only those assignments to which the PO Viewer has access will be listed.

Add/Edit Project Assignment

When you click on + PO Assignment, a project assignment is created with defaulted values from the PO assignment for the following fields:

 

Project Assignment Field Descriptions:

 

  • Begin/End Dates  - From PO Assignment.

  • Link Dates - This field is set to N when adding an assignment. For more information about Link Dates, see Project People Assignments. If the Link Dates to Project / Task Dates option is checked on the matched project/task assignment, the Assignment dates are derived from the project (or task) dates (depending on whether the assignments are managed at the project or task level for this project).

  • Hours - Specify hours for assignment.

  • Cost Rate - Cannot change if defaulted from PO. Otherwise, Administrators, P&R Administrators, or Resource Assigners with Cost Rate Manager role can edit this field. The available options for matched project assignments are the following:

    • Person - derived based on person source

    • Labor - derived based on labor source

    • Override - allows user to enter overriding rate 

  • Project - Cannot change if defaulted from PO. If missing from PO Assignment, you will be prompted to select the project.

  • Task - Populated if the project is managed at task level or PO assignment has task. If managed at task level and task is missing, you will be prompted to select the task.

  • Labor Category - Cannot change if defaulted from PO. Otherwise, can be any labor category related to the project; if no labor categories on the project, then can be any active labor category in the system.

  • Person - From PO Assignment.

  • Bill Rate - Derived bill rate. Resource Assigner without Bill Rate Manager role cannot see or edit this value.

  • Project Org - Cannot change..

  • Person Org - Can be any active organization to which the user has organization access.

  • Cost Element - Defaults to user's labor cost element. Can be any cost element related to the project's cost structure; if no cost structure on the project, then can be any active cost element in the system.

  • Exceed Budget - Allow budget to be exceeded indicator from assignment.

  • Location - Defaults to user's location. Can be any location related to the project; if no locations related to the project, then can be any active location in the system.

 

To edit the fields on project or matched project assignments, click anywhere on the row to edit it.

 

Saving Assignments

When finished editing assignments, click Save at the bottom of the page. You will see the following popup:

 

If the new assignment is overlapping an existing assignment, you will see a warning message. If you choose to continue, the existing assignments will be removed. You can also choose to notify the following people:
